This Privacy Notice describes how and why the PMA collects, uses, and stores your Personal Data, and what rights you have in relation to the PMA’s “processing” of your Personal Data. “Processing” means any operation, whether or not automated, that is performed on Personal Data or data sets, e.g., collection, recording, organization, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction. The PMA is both a “processor” and “controller” of Personal Data, meaning that the PMA not only collects and uses Personal Data, but also it determines the purposes and means of “processing” it.
Who is Responsible for your Personal Data
The PMA is the data controller and data processor for any data that you submit through Our Websites. However, when you engage in a financial transaction with us online, you are sent to another site where your payment is processed, and that site is the controller of the Personal Data you are required to provide in order to complete the transaction. In addition, when you register for a PMA Annual Meeting or apply to participate in our Pilates School Approval Program (“PSAP”) or another initiative, you will provide personal information to the PMA through a third party website such as CVENT or PerfectForms, about which more information is provided below.
General Purposes for the PMA’s Collection of Personal Data
The PMA collects and handles Personal Data in order to serve the interests of members and the public, and to further the eleemosynary purposes of the organization. Depending on the specific purposes of processing, which are discussed further below, the PMA collects and uses your Personal Data for one or more of the following lawful purposes:
- to provide a wide range of membership benefits and services;
- to meet our legal or regulatory responsibilities;
- to protect the vital interests of our members or other persons, e.g., when we ask conference attendees to provide emergency contact information;
- to serve the public interest, scientific or historical research purposes, or statistical purposes, e.g., our Heroes in Motion program, or our Pilates is Health and Pilates Day initiatives;
- to answer inquiries from members, or address complaints relating to matters of membership and certification;
- to further the interests of the PMA without unduly affecting your interests or fundamental rights and freedoms, which interests may be as diverse as administering and reporting on PMA programs, initiatives, and events; and measuring the effectiveness of our advertising and outreach.
The Personal Data We Collect from You and How We Use It
The PMA collects information: (1) automatically when you use Our Websites, (2) directly from you, or (3) from third parties that handle transactions or applications related to the PMA. Apart from information collected automatically when you access Our Websites, the type of Personal Information we collect about you depends on the nature of your interaction with the PMA. Personal Data may be provided by you electronically on a web form, via email, fax, or otherwise.

I. Information That We Collect Automatically
When you visit Our Websites, we use (or may use in the future) various tools to collect information:
Personal Data Collected
Facebook Pixels: We may use Facebook Pixels in order to track users who have visited Our Websites through Facebook advertising. When users visit Our Websites as the result of clicking on a Facebook advertisement, Facebook Pixels allow us to track what actions users take on Our Websites, what links they click on, whether they put something in a shopping cart, where they go if they abandon it, whether they change devices or resume viewing later on a different device, and other website usage information. This information, together with your Facebook ID, is sent back to Facebook where it is analyzed.
Abandoned Cart Reports: We may also use an “abandoned cart report,” which employs email or “push” notification in order to remind users about incomplete transactions.
The information that we obtain through Google Analytics measures traffic and usage trends, which provide us with information that can help us improve Our Websites, outreach, and advertising. Facebook Pixels allow us to gauge the effectiveness of our advertisements and to create “lookalike” audiences for our advertisements, thereby broadening our outreach. Abandoned Cart Reports allow us to analyze why a purchase transaction might not have been accepted.
We set user and event data collected by Google Analytics for automatic deletion after 26 months. The information collected by using Facebook Pixels tracks “conversions” in response to a Facebook advertisements. A “conversion” is an action by a customer such as a purchase or adding something to a shopping cart. Conversion data is automatically deleted after 28 days.
II. Information that Users Provide to Us
A. PMA Members
The Personal Data, together with other information with which you provide us as a PMA Member, allows us to build a profile of each PMA Member in order to: (1) identify and help the PMA Member maintain membership; (2) display the PMA Member’s name in the PMA Member Directory; (3) provide PMA Members with services and information of interest to PMA Members, e.g., information about certification, insurance, elections of directors, and PMA events, programs and initiatives; and (4) to produce reports relating to membership. When you apply for membership, email is on an OPT-IN basis, and once a PMA Member opts in, s/he can opt out any time s/he receives an email from the PMA.
The PMA retains Personal data provided by PMA Members for as long as membership is current. The PMA does not hold Personal data for expired memberships for longer than five (5) years.
B. Attendees at PMA Annual Meetings (http://pmaannualmeeting.org)
People who register for PMA Annual Meetings include PMA members, non-members, “comped” attendees, presenters, exhibitors, workshop leaders, corporate and conference sponsors, advertisers, and volunteers. Registration for PMA Annual Meetings is handled through a third party (currently CVENT), which is directed by the PMA to collect certain Personal data and information that the PMA deems necessary for registration. This includes your full name, gender, address, email address, telephone numbers, the URL(s) of your website(s), social media handles, emergency contact information and relationship, whether you are a PMA CPT or a licensed physical therapist, your education and training, whether you work for a Pilates teacher training program, what other modalities you teach, whether you require any specific aids or services for disability, and whether you have particular dietary requirements. Presenters, exhibitors, sponsors, and advertisers maybe asked to provide additional information. The PMA requires presenters to provide information related to their training and education, and to furnish a headshot. Exhibitors, sponsors and advertisers may be asked to furnish credit card information to be held by the PMA.
We use Personal Data and other information which you provide to the PMA via CVENT in order to send you information about the PMA Annual Meeting for which you registered, to print badges, to assist us in the scheduling conference events, to grant attendees CEC credits, to understand our market, to accommodate attendees and serve their specific requirements related to disability or diet, and to run reports relating to conferences. Additional information provided by presenters, exhibitors, sponsors, and advertisers may be used to assess professional qualifications, to review applications, to secure payment, to understand exhibitors’ or presenters’ requirements and map out the exhibit hall, or to provide benefits of being a presenter, exhibitor, or sponsor.
Except as stated below with respect to presenters, exhibitors, sponsors and advertisers, Personal Data other than your email address is not retained by the PMA in its database or records, but is retained in CVENT’s database for as long as CVENT is under contract with the PMA, which contract is of an indefinite term. Once that contract ends, CVENT will delete all Personal Data in its “production environment” within 90 days, and will delete backups of Personal Data within 13 months.
Personal Data related to presenters, exhibitors, sponsors and advertisers is retained in the PMA’s database for as long as the PMA has the need for it, that is, in order for the PMA or the presenter, exhibitor, sponsor or advertiser to fulfill those obligations that each of the foregoing have chosen to undertake; e.g. to provide and secure payment for sponsorship.
Names and contact information of exhibitors are shared with our drayage contractor, to facilitate load-in and load-out at the conference, and to provide services such as decor rental, lighting, internet needs. The PMA will not share the Personal Data of conference attendees with any third party, except that the PMA may share the attendee’s email address with Exhibitors and Sponsors if the attendee has provided express consent by opting-in to receive email from Exhibitors and Sponsors.
C. National Pilates Certification Program
Applicants for Certification are requested to provide their full name and address, telephone numbers, email address, and information about the school(s) where the applicant trained. This Personal Data will be provided by the applicant to the NPCP’s test administration company, and that company will share that Personal Data with us.
The PMA uses Personal Data from applicants and certificants to administer the Program, which may include activities such as addressing issues regarding verification of training, granting continuing education credits, administering exams, enforcing the PMA’s Scope of Practice and Code of Ethics, publishing the names of certificants on the PMA’s website, and gathering and analyzing statistics regarding certification.
The PMA provides via its website a searchable database of Nationally Certified Pilates Teachers. Search results display the certificant’s name, city, state, country, email address, company name, certification number, date of initial certification, date of expiration, website URL (if applicable), formal training, and other modalities taught.
Personal Data regarding applicants who are not certified are not retained by the PMA. Personal Data regarding certificants are retained as long as the person is certified. After certification has expired, Personal Data is deleted from the public record, and either deleted from the PMA’s records or archived.
D. Other PMA Programs and Initiatives
1. Pilates School Approval Program (PSAP) (https://www.pilatesschoolapprovalprogram.com)
The PMA collects Personal Data related to PSAP in order to administer the PSAP, which may include assisting schools in completing their applications, approving applications, displaying school information in the PMA’s directory, addressing renewals, enforcing the terms of the Pilates School Approval Program Agreement, and addressing complaints.
The PMA retains any Personal Data for as long as the school is an approved Pilates school. Once approval lapses or terminates, the PMA retains Personal Data for no longer than five (5) years, after which it is archived.
2. Fostering Future Professionals Program Applicants
The PMA’s Fostering Future Professionals Program (FFP) is an optional program for schools that offer comprehensive Pilates teacher-training programs (among other requirements). The PMA collects from applicants the names of and information about teachers and instructors at the school. Most of the information collected is not Personal Data, but pertains to the school itself.
The PMA collects this Personal data and information in order to consider the school for participation in the FFP.
Personal data is retained for as long as the school participates in the FFP.
3. Presenters at Pilates Day Events (http://www.pilatesday.org)
From those who wish to present a workshop, class, or other instructional session at a Pilates Day Event, the PMA collects such information as the presenter’s full name and address, email address, phone numbers, website address, and the full name and address, email address, and phone numbers for any contact persons. In addition, presenters are asked to provide a copy of their personal liability insurance policy.
The PMA collects Personal Data for Pilates Day Events in order to review proposed presentations, list presentations on the PMA’s Pilates Day calendar, administer Pilates Day events, produce reports about Pilates Day events, ensure that Pilates Day event hosts listed on PMA website carry liability insurance, and for historical purposes.
The PMA retains Personal Data collected in connection with Pilates Day for five (5) years, after which they are archived.
4. Pilates is Health Participants (http://pilatesishealth.com)
Participants on our Pilates is Health website are requested to furnish their full names, email addresses, locations, occupations, and the personal details of the stories they wish to tell.
The PMA collects Personal Data in order to assess and approve stories for posting on the website, and to make it those stories publicly available.
The PMA retains Personal Data furnished by Pilates is Health participants for an indefinite period of time.
5. Heroes in Motion (https://www.heroesinmotion.org)
The Heroes in Motion program is intended to provide a network where Pilates teachers can connect with and learn from other Pilates teachers who have experience working with clients facing movement challenges due to disease and trauma. The program features a forum for discussion, which is accessible only by PMA Members.
The PMA collects Personal Data in connection with Heroes in Motion in order to document the work of Pilates teachers with their clients, and to provide, develop and share information and resources with members of the public who are interested in the Heroes in Motion program.
The PMA retains Personal Data related to Heroes in Motion for an indefinite period.
6. Pilates Research
Researchers who wish to present research at a PMA Conference are required to provide their full name and address, telephone numbers, email address, credentials, social media handles, credentials, institutional review board approval (where applicable), photograph. Researchers who wish to submit Case Reports for Heroes in Motion or Pilates 4 Youth are required to provide their own Personal Data as well as that of their Clients. Clients (and parents or legal guardians, if applicable) must sign consent forms before a Case Report can be considered for acceptance by the PMA.
The PMA uses Personal Data collected in connection with Pilates Research to assess the qualifications of the person presenting or conducting the research, to assess the research or Case Reports themselves, to review applications, to make the research or Case Reports available to the public, for scientific purposes, and in furtherance of the interests of PMA Members and the public.
The PMA retains Personal Data collected for Pilates Research for an indefinite period of time.
Purchasers of goods at the PMA Store
When goods or downloadables are purchased at the PMA Store, checkout is handled by iMIS, while payment is handled through PayPal. Once a transaction is completed, the PayPal platform provides the PMA with the purchaser’s full name and address, including email address, and what was ordered and paid for.
The PMA uses Personal Information related to purchases at the PMA Store to fulfill orders and keep track of sales.
We access Personal Data of purchasers via the PayPal platform, and do not retain it in our own records. However, the information is retained by PayPal, and the PMA has no option to remove it from the PayPal purchase history.
Email list sign-up
Visitors to Our Websites who sign up (i.e., opt in) to receive emails provide their full name, email address, city, state, and country.
The PMA collects Personal Data in order to add the user to the PMA mailing list, send the user email, and keep records on geographic locations of website users, which helps the PMA improve the PMA’s services, products, and outreach.
The PMA retains Personal Data of users who sign up to receive emails until the user opts-out of receiving emails or until the email address is invalid.
III. Additional Information
Confidentiality and Security
The PMA and its service providers have in place various electronic and technical safeguards, managerial processes and organization measures to prevent unauthorized access or disclosure, maintain data integrity, and ensure the appropriate use of Personal Data. The PMA maintains Personal Data on secured computers and all user accounts are password protected.
“Do Not Track” Signals (under California Online Privacy Protection Act (CalOPPA)
Our Websites do not support Do Not Track ("DNT") signals, so Our Websites do not behave differently when a DNT request is received. DNT is a preference you can set in your web browser to inform websites that you do not want to be tracked. However, there is currently no industry-standard way to handle these requests.
Your Data Protection Rights Under General Data Protection Regulation (GDPR)
- The right to access, update or to delete the information we have on you. Whenever made possible, you can access, update or request deletion of your Personal Data directly within your account settings section. If you are unable to perform these actions yourself, please contact the PMA as provided below to assist you.
- The right of rectification. You have the right to have your information rectified if that information is inaccurate or incomplete.
- The right to object. You have the right to object to our processing of your Personal Data.
- The right of restriction. You have the right to request that we restrict the processing of your Personal Data.
- The right to data portability. You have the right to be provided with a copy of the information we have on you in a structured, machine-readable and commonly used format.
- The right to withdraw consent. You also have the right to withdraw your consent at any time where the PMA relied on your consent to process your Personal Data.
Please note that the PMA may ask you to verify your identity before responding to such requests.
You may have the right to complain to a Data Protection Authority about our collection and use of your Personal Data. For more information, please contact your local data protection authority in the European Economic Area (EEA).
Our Websites do not address anyone under the age of 18 ("Minors"). Except as provided above with respect to research and Case Reports, we do not knowingly collect Personal Data from Minors. If you are a parent or guardian and you are aware that your child has provided us with Personal Data, please contact us. If we become aware that we have collected Personal Data from any minor without verification of parental consent, we will take steps to remove that it from our servers.
